Rogers TV Toronto has an immediate opening for an experienced Administrative Assistant for a one year term – maternity leave replacement. Reporting to the Director, Planning & Engineering and to the Station Manager, Toronto, the successful candidate will provide administrative support for the Director and for the department.
RESPONSIBILITIES INCLUDE:
Provide a superior level of administrative support for the Director, Planning & Engineering and for the Station Manager, Toronto
Develop and manage daily schedules, coordinate travel, organize meetings and conference calls
Assist with preparation of reports, correspondence, presentations, and memos
Handle highly sensitive and confidential matters relating to the daily activity of the department
Process purchase orders and payment requisitions
Provide assistance to other Station Managers and their Administrative Assistants as required for information requests or reports
Setup and maintain filing system
Act as Timekeeper administrator for the department
Answer incoming calls to the office
Ensure all office equipment is in working order and office supplies available
Meet all legal and policy requirements under Health & Safety Legislation
Qualifications
Customer service orientation, teamwork and collaboration, adaptability, initiative
Problem solving/judgement, achievement orientation, listening, understanding & responding, and information seeking
Minimum of 5 years experience as an Administrative or Executive Assistant
Post Secondary education in administrative studies an asset
Excellent communication, spelling, and grammar skills
Strong organizational and interpersonal skills with the ability to prioritize, pay attention to detail, and follow-up
Solid understanding of business professionalism and the ability to work in a team environment
Ability to work under pressure with multiple competing deadlines.
Experience with Oracle, Timekeeper and other Rogers systems, procedures and policies.
Advanced knowledge of MS Office suite including ability to create complex and esthetically pleasing Excel spreadsheets and Powerpoint presentations
Understand and can manipulate databases
Valid Class G driver’s license an asset
